Community: Can I limit the dates and times my customers can book to avoid overbooking?

first

In this article, we will explain how to use Smartsheet forms to restrict reservation dates and times for your customers.

Question summary

Ethan Young uses a form in Smartsheet to allow customers to request furniture donations from warehouse partners.Since the warehouse only accepts one pickup per hour and four pickups per day, they would like to know how to limit the reservation dates and times to avoid overbooking dates and time slots.

Answer summary

Respondent jmyzk_cloudsmart_jp has created a demo solution to demonstrate the solution to this problem. The demo solution consists of two sheets:

  • Availability Sheet: Displays reservation status for the next 14 days.
  • Reservation sheet: This is the sheet where the user enters reservation information.

The pickup reservation column on the availability sheet contains a link to make a reservation. When a user clicks this link, a reservation sheet opens with pre-filled information.Users can fill out the form, check any time slots that are not already checked, and their reservation information will be saved to the reservation sheet.

The availability sheet is linked to the reservation sheet, so refreshing the dashboard will reflect newly added reservations. If your reservation reaches the daily pickup limit, the link in the pickup reservation column on the availability sheet will disappear to prevent overbooking.

answer

Hello @Ethan Young
I have created a demo solution based on your description.

  • The dashboard below shows availability for the next 14 days.
  • After viewing the availability table, users can add a reservation by clicking the link in the Pickup Reservation column.
  • Clicking the link will open a form with pre-filled information, as shown in the second image.
  • When a user fills out a form while checking for an unconfirmed time slot, that information is moved to another sheet.
  • The availability table is linked to the second sheet, so refreshing the dashboard will reflect newly added reservations. (You may need to refresh the dashboard several times.)
  • When a reservation reaches the daily pickup limit (currently set at 1), the left will be zero and the pickup reservation link will disappear to prevent overbooking.

Click on the published demo dashboard link below to see how the solution works. (You can click the link to see how the solution works.)
