Example of use for calendar view

In fact, of the four views in Smartsheet, the calendar view may be the least popular.
This is probably because organizations that use Smartsheet often use calendars for easy-to-use groups, such as Google Calendar, and don't use Smartsheet calendars much.

Actually, even in the Smartsheet experience section of this homepage, "Calendar experience" is not ready at the time of writing this article. (Even in the usage examples of customers that I know, there are examples of using it for managing sudden absenteeism of employees, examples of using it for GW and summer vacation attendance status.)

Under such circumstances, it is recommended to use the calendar view.Extract the tasks of the project that are particularly conscious of the schedule and display it on the calendar you usually use such as Google CalendarIt is a usage to do.
In particular,People who usually use calendars such as Google Calendar, put appointments and meeting schedules, and manage tasks with SmartsheetThe recommended method is to extract this specific task and display it in Google Calendar.
The following is based on the Smartsheet help article and supplements some points to help you understand how to use this recommendation.

Set the calendar view

Select the date to display

The owner of the sheet or report and the collaborators with administrator access to the sheet or report can determine which tasks to display in the calendar view.

  1. Switch to the calendar view.
  2. Right side ([share] Click the gear icon (below the button) to display the Calendar Settings window.

Tip: By default, the first calendar view opens the current month and displays the items within that month.

  1. You can make any adjustments in this window as needed.
    • Show only dates in next column If you turn on: When you select a column from the drop-down list, the tasks for the dates listed in that column are placed in the calendar.
    • Display date range using: If you turn on: Use the drop-down list to select two Date columns (start date and end date) in the sheet.The date tasks listed in these two columns appear in the calendar over the specified date range.This feature is useful for tracking a single task from start to finish.

      note: レポートWhen working with, the calendar view reflects dates scattered across multiple sheets. Make sure that all sheets contain a column name that exactly matches the column name you selected in Calendar Settings.If a sheet does not contain columns with matching names, the tasks on that sheet will not appear in the calendar as expected.

Calendar display tips

  • If you select only a specific date, "Start" is selected by default, but if you use it in a calendar, it is more practical to select "End" which is the deadline. (It's an individual impression.)
  • In the weekly view, you can see many items on any day. In the 1-month view, you can see more days, but less items are displayed per day.
  • If you don't see all the items for a day, click the icon in the lower right corner of the date to adjust the time frame to show all the items for that day.
  • You can also adjust the time frame by clicking anywhere on the scroll bar on the right or the mini calendar on the left.
  • The mini-calendar range highlights the date range displayed in the main calendar.

Calendar bar color settings

Tip: Conditional formatting allows you to convey information at a glance.For example, you can set a task color rule for each member, or create a bar color rule for each project when you have multiple projects and you are aggregating them in a report.


Tip: If you don't want to see all your tasks in your calendar, start with Grid viewCreate a new date column in (for example, "Calendar Dates"). Then enter the date in this column only for the tasks you want to display in the calendar.Go back to the calendar view[Calendar settings] Select a new date column in the window.

Currently, tasks cannot be scheduled at any particular time.Only specific dates can be specified.Even if you specify "days (with fractions)", "hours", "minutes", etc. for the period in the project sheet, it will be displayed as all day in the calendar view or the data published as a calendar.


Edit row information

Sheet owners and collaborators with administrator or editor privileges on the sheet can change the date of the task by dragging the bar and dropping it on a new date.If you want to move the start / end date of the task, you can drag the edges left or right to extend the time period.

note: DependencyIf is enabled, you cannot use the drag feature in the calendar view of a report or in the parent row of a sheet (the row with subtasks indented below).

Change the calendar time frame

You can also click on the mini-calendar to navigate through the project by date.

note: When you print your calendar, it always prints four weeks' worth of information per page.There is no way to adjust the size of the box.

Publishing to Google Calendar

To view dates outside of Smartsheet, publish your calendar view to Google Calendar.
Simply turn on publishing, give your calendar a name, and click OK.Now, if you change the date in Smartsheet, it will be reflected in Google Calendar.
You can also overlay Google Calendar on Smartsheet.All you have to do is turn on the overlay and then select the Google Calendar you want to use.
